1.     All hired equipment remains the sole property of Cover Co-ordinates Limited.

2.     The ‘hire’ will be for the period as agreed and must be returned as arranged.

3.     The responsibility for the equipment rests with the customer from the time of delivery to the time of collection.  

4.     Items for return must be packed as instructed in the boxes provided, well sealed and be available for collection at the pre arranged collection address.  The courier will only collect from the agreed collection address.  If the boxes are not available or not packed / sealed correctly and the courier refuses to collect, another collection will need to be arranged which will incur extra courier charges. 

5.     The £50 refundable deposit will be returned within 14 working days of receipt of hired equipment once it has been checked for damages and / or shortages.

6.     The customer shall pay 50% of the total hire cost on confirmation of booking.  The remaining balance is due no later than one month before the event date.  Please also see our cancellation policy. 

7.     The cost of replacement of equipment can be provided upon request.

8.     It is the responsibility of the customer to ensure that the chair covers are both suitable and fit the chairs at their venue.  We are more than happy to provide various samples to ensure a good fit.

9.     Confirmation of the customers exact requirements regarding the number of covers and sashes required should be made available to us no later than seven days before your event.  Adjustments after this time are at the discretion of Cover Co-ordinates Limited.

10.   All returned items are laundered; this is included in the hire price.  Standard laundering removes stains such as drink spillage, food stains and shoe polish.  However any damages that are perceived by Cover Co-ordinates Limited to have been caused by treating the covers without due care may result in an additional laundering / repair charge being issued.

11.   Boxes will be provided by Cover Co-ordinates Limited for the return of covers and sashes.  All hired items are to be returned in the provided boxes only.  Instructions will be included on how to pack them.  Sashes must be removed from the chair covers and untied.  Covers must be distributed evenly between the supplied boxes as they are heavy.  If covers are not evenly distributed this can result in an 'overweight' charge by the courier which will be passed on to the customer.  

12.   The total number of hired items must be returned as agreed to Cover Co-ordinates Limited after your event.  Any missing / non-returned items will require full value payment.  The customer will be invoiced within seven days of receipt of stocks for any missing items.  This charge can be deducted from any security deposit paid.

13.   If we are providing a set up service the customer must be specific which suite / function room the event is being held at.

14.   All samples are issued so that the customer can check the suitability of the cover.  The samples must be returned to confirm the booking.

15.   During the hire period should any cover get wet, they must be allowed to dry before being packed for return.  This is because some of the materials are susceptible to mould / mildew if they are left wet.

16.   Cover Co-ordinates Limited cannot be held responsible for non delivery of stock due to severe adverse weather conditions.  Every effort will be made to make courier delivery under these circumstances but this cannot be guaranteed.  Payments made to Cover Co-ordinates Limited would not be refundable under these circumstances except for the £50 refundable security deposit.
